Erasmus+ is an education programme of the European Union, allowing UI academic and administrative staff to apply for grants to conduct guest lecturing, or to receive staff training in a country participating in Erasmus+. The participating countries are the 27 countries of the European Union, the EFTA countries Iceland, Liechtenstein, and Norway, as well as Turkey, North Macedonia and Serbia. The application deadline for mobility grants is 15 May each year, however it is often possible to apply after the application deadline. Mobility grants are not awarded for language courses or for participation in conferences. Grants for teaching staff exchange/guest lecturing The teaching staff exchange must occur with a European educational institution. Teaching and related work must comprise a minimum of 8 hours during a two to 14 days travel period (with travel days). Teaching staff may apply for a grant for staff training or a joint guest lecturing with staff training for the same trip. Mobility grants are not awarded for language courses or for participation in conferences. It is not a given that weekends or holidays are funded, should the stay extend over a weekend. It needs to be apparent that it is necessary for the stay to extend over a weekend. For work as a guest lecturer, an Erasmus+ institutional agreement between the University of Iceland and the guest institution needs to be in place. The Erasmus+ programme places great emphasis on high-quality applications. Proposed staff exchanges, as well as applications for staff training must, therefore, have a clear connection with the objectives and work of the faculty or organisational unit. The applicant's supervisor signs a teaching or staff training mobility agreement, and in doing so, agrees that the stay is part of the faculty or department's work and strategy. The purpose, content, and schedule of the stay must be well written and described in detail. Note that the majority of grants should be awarded to academic staff. The grant is allocated to the relevant department or unit at the University of Iceland, which then pays the visiting teacher. The Applicant shall start the application process by finishing the Teaching mobility agreement and then fill in the online application. The mobility agreement shall be attached to the online application. The Erasmus+ programme places great emphasis on high-quality applications. Proposed staff exchanges as well as requests for staff training must, therefore, have a clear connection with the objectives and work of the faculty or organisational unit. Note that the travel grant is a fixed sum based on the destination. It may, therefore, be important to book flights (or train tickets) well in advance. Before final grant calculation, the grant recipient shall submit a fully signed teaching or staff training mobility agreement as applicable. If details of the intended stay need to be changed, compared to the submitted application, it may be necessary to prepare a new mobility agreement and get it signed. It must be clearly stated how many days (travel days not included) are intended to be spent at the guest institution, as well as some type of activity for all days of the stay. The undersigned agreement may be scanned. Per diem payments are calculated based on the number of days at the guest institution + one to two days of travel, as applicable. Erasmus+ grant agreement Once the fully signed teaching or staff training mobility agreement, and copies of airline tickets have been submitted to the International Office, the grant recipient receives the Erasmus+ grant agreement by email. Print the agreement in two copies; sign both copies (originals) and ensure the International Office receives them, e.g. via internal mail. The Erasmus+ grant agreement must be signed prior to departure. The grant recipient receives the second copy of the agreement back once the international relations officer at the International Office has signed it. Be sure to keep the agreement; it is good to have it on hand when preparing the final report and for your annual tax return. Payment of the grant Payment of the grant can begin, once the above has been concluded. Once all documents have been received, it should be possible to pay the grant sum two to three months prior to departure. Keep in mind that it may take some time to pay the grant after the International Office has received the signed agreement. The entire grant is paid in one instalment. Confirmation of stay The grant recipient takes the Confirmation of stay form with him/her to be signed by the guest institution and submits the signed copy to the Internationl Office upon their return. Scanned copy is accepted. Final report Following the trip, the grant recipient receives a final report form by email, which shall be submitted no later than one week after their return. Tax return The grant is disclosed on the grant recipient's tax return, but costs are offset and no tax is paid on the grant. It is advisable to keep all receipts. facebooklinkedintwitter
