Erasmus+ grants for academic and administrative staff

Erasmus+ is the European Union's education programme that allows academic and administrative staff from UI to apply for grants for teaching mobility or staff training in Erasmus+ programme countries.

  • Application deadline for autumn 2026 is 15 May 2026
  • Application deadline for spring and summer 2027 is 15 November 2026

Applications for mobility during these periods are only answered after the application deadline. Applications received before the deadline have priority. Applications are accepted after the deadline, and those applications are answered as they come in, but grants are only allocated if there is enough funding available. Applications should be submitted at least eight weeks prior to the planned start date. Applications submitted less than four weeks prior to the planned start date are rejected.
 

Opportunities for staff

  • Teachers, academics and other staff can apply for grants for teaching and staff training mobility through Erasmus+. Sessional lecturers cannot apply. 
  • Staff working at institutions associated to the University can apply if the trip is considered important for teaching or learning at the University.
  • Retired staff from UI (emeritus/emerita) cannot apply for Erasmus+ mobility grants unless they have approval from their faculty and an active contract on continued work according to the policy for retired staff.

  • It is possible to do a staff mobility for teaching at universities in Erasmus+ programme countries.
  • For teaching mobilities an Erasmus+ inter-institutional agreement needs to be in place between the University of Iceland and the host institution.
    • New agreements for staff mobility are only made for tenured staff
    • Staff can contact the International Division for information on what agreements are currently in place
  • Teaching can be done in any subject field and at any study level
  • The minimum duration is two days of activities. A maximum of 14 days is supported with the Erasmus+ grant, but trips can be up to 60 days.
  • Teachers must teach eight hours at the host institution per week. For mobilities shorter than a week, the minimum teaching hours are also eight.
  • Staff can also participate in a blended mobility, where teaching is done both in person and online. Minimum teaching hours are eight per week.
  • It is possible to combine both teaching and training in one mobility and only teach for a part of the mobility. For these combined mobilities the minimum teaching hours are four per week. Staff applying for a combined teaching and training mobility must fill in the mobility agreement for staff mobility for teaching (see under Online application and supporting documents on this page).

  • Academic and administrative staff can apply for staff mobility for training in Erasmus+ programme countries 
  • Staff mobility can for example be participation in workshops, courses, job shadowing, and organised visits to partner universities or other institutions, organisations, NGOs, or companies.
  • The training must be related to the job of the applicant, and the goals and benefits of the mobility must be clear for both the applicant and UI.
  • Staff can also participate in blended mobility, combining in-person training with online training.
  • An inter-institutional agreement between UI and the receiving institution is not necessary.
  • Any higher education institution staff intends to visit must have a valid Erasmus Charter (ECHE – Erasmus Charter for Higher Education)
  • The minimum duration is two days of training. A maximum of 14 days is supported with the Erasmus+ grant, but trips can be up to 60 days.
  • Participation in conferences and language courses is not supported.
  • Group applications are not supported, and applications must be made in the name of individuals.

  • UI faculties can apply for an Erasmus+ grant for invited staff from enterprises (from Erasmus+ programme countries). The invited staff cannot be from other higher education institutions.
  • A UI staff member must apply on behalf of their faculty and indicate in the application that they are applying for a grant for invited staff.
  • Invited staff can participate in a blended mobility, where a part of the teaching is done online and a part is done in person.
  • Payment of the grant for invited staff is made to the faculty if the faculty pays for the expenses of the participant. Otherwise, the payment is made directly to the invited staff member.
  • The minimum duration of the visit is one day of teaching. A maximum of 14 days is supported by the Erasmus+ grant, but the visit can be up to 60 days. 
  • There are no minimum teaching hours for invited staff.

  • Erasmus+ provides both a travel support grant and an individual support grant. Both amounts are standardised. The grant is a contribution to travel and living expenses during the mobility and is not expected to cover all expenses related to it.
  • The travel support grant is between 309 EUR-1188 EUR and is calculated based on the distance to the receiving institution.
  • The individual support grant is 148, 170 or 190 EUR per day. The amounts are standardised for Icelandic universities and are based on the destination country. Amounts for individual countries can be found on the website for the Icelandic Erasmus+ National Agency.
  • The grant amount for invited staff from enterprises is 190 EUR per day.
  • It is possible to support two travel days if duly justified.
  • It is possible to apply for additional support for expensive travel if the travel support grant does not cover 70% of the cost of travel, based on the most economical way of travel.
  • More on the expensive travel grant:
    • Only 80% of the real cost of travel is supported
    • Travel between airports and neighbouring cities does not count towards the total cost of travel when applying for the expensive travel grant. To count such travel the travel distance must be at least 100 km.
    • Staff who want to apply for the expensive travel grant must send in an application for that before the grant agreement is signed.
    • It is not possible to apply for the expensive travel support if the flight tickets are bought less than 4 weeks before the planned start date.
    • Staff can contact the International Division for the application form for the expensive travel grant.
  • If the participant can prove that the main part of their travel was done by sustainable means (based on number of kilometres), it is possible to get a higher travel grant, in line with the green Erasmus+ priority. 
  • Staff going on mobility through Erasmus+ can apply for an additional inclusion support grant based on real costs for expenses they face during the mobility. These grants are mainly for participants with a disability or illnesses who would face extra costs related to the mobility. The International Division will help applicants with their application but it must be submitted to the Icelandic Erasmus+ National Agency.
Application process

  • The online application is done through Ugla
  • For the application to be valid a signed mobility agreement for teaching or training must be attached to the online application. The agreement must be signed by at least the applicant and their immediate superior.

  • The receiving institution must be indicated in the online application. Their signature is not needed on the mobility agreement at the time of application but they will need to sign the mobility agreement before the grant agreement is sent to the participant
  • The application must clearly state how many days (excluding travel days) are planned at the receiving institution and it must be clear that some activity is planned for each day

  • The International Division evaluates all applications after the application deadline
  • The mobility agreement for teaching or training must be filled in and complete
  • The aims of the visit must be clear and the benefits for the staff member and the University must be clear. The purpose of the mobility must be in line with the objectives of the faculty/office.
  • University staff has priority over staff of institutions associated to the University.
  • Applicants who have not received a grant before have priority.
  • The same staff member cannot get more than two grants in the same academic year (September to September).
  • The aim is to have a broad distribution of mobile participants across the schools, faculties and divisions at the University.
  • If many staff members within the same unit are applying for a similar trip the International Division may ask the faculty administrative officer, head of faculty, or others to select participants if it is necessary to choose between them.
  • Unsatisfactory applications are rejected, but applicants are given the opportunity to send in an updated mobility agreement to the International Division, if applicable.
Departure and return

  • Once the application has been approved, the staff member is notified of their grant award
  • The staff member must send a copy of their flight ticket to the International Division
  • The staff member must also submit a fully signed mobility agreement to the International Division
  • Once these documents have been provided the staff member receives an Erasmus+ grant agreement by email that then needs to be signed and submitted to the International Division
  • The grant is paid a month after the grant agreement has been submitted if all other requested documents have been provided. The grant is paid in one instalment.
  • Staff can take an online language course provided by Erasmus+ to prepare for the mobility. See more information on the website of the Icelandic Erasmus+ National Agency.

  • Staff must ask the receiving institution to sign a confirmation of stay and must then submit this document to the International Division
  • Upon return the staff member must fill in the Erasmus+ participant report that is sent to the participant by email on the last day of the mobility
  • The Erasmus+ grant is disclosed on the grant recipient's tax return, but costs can be offset so no tax is paid on the grant. Participants are advised to keep all receipts.
