Rules for the allocation of travel grants to PhD students at the University of Iceland School of Health Sciences

1.    The University of Iceland School of Health Sciences (SHS) offers two kinds of travel grant: full travel grants and supplementary travel grants. The sum of each grant and the total sum of money allocated in grants are determined by the board of SHS.
2.    Grant recipients must be enrolled in a PhD programme at SHS and must have completed annual registration with the Student Registration (which should be done every March). Those who are eligible for a travel grant from the UI Union Fund are not eligible for the SHS travel grants.
3.    Students applying for the SHS PhD students travel grant for a conference abroad must be contributing to that conference, i.e. with a lecture, poster or another kind of academic contribution. By „academic contribution“ it is i.a. implied that the applicant herself/himself shall present the material at the conference.
4.    Students applying for a travel grant for a course or summer school abroad must explain how participation will support their doctoral studies.
5.    Students applying for a regular travel grant must have applied for a grant from the UI Research Fund's travel fund for doctoral students, if the trip is eligible, but have had this application rejected, as well as having applied for potential grants elsewhere, e.g. from a union.
6.    Students can also apply for a „supplementary travel grant“, i.e. supplementary to a travel grant obtained from the UI‘s Research Fund in case the latter was lower than the actual cost of the trip. In this case the applicant shall make clear that a supplementary grant is desired, cf. the relevant field in the application form.
7.    Students may apply for planned trips and trips that have already taken place in the calendar year.
8.    A contribution to a conference is given priority when determining the allocation of grants. Students may apply for grants for courses or summer schools abroad, if finances permit such grants to be awarded.
9.    Further prioritisation of grants will be based on the quality of the conference and the nature of the applicant's involvement. If applications for courses and summer schools abroad are considered, particular weight will be given to the quality of the educational institution in question and the student's argument for the importance of the study for their PhD programme.
10.    In selecting grant recipients, priority will be given to those who have not previously received a travel grant from SHS or the UI Research Fund's travel fund for PhD students.
11.    Those who have received two SHS travel grants, or five travel grants from the UI Research Fund and an SHS travel grant, cannot expect to receive any further SHS travel grants unless there are special reasons for the application. 
12.    SHS travel grants are allocated twice a year, at the end of the spring semester and at the beginning of the autumn semester, for trips taken during the calendar year.
13.    Applications must be submitted before the middle of May or before the end of September. 
14.    The SHS Science Committee shall formally handle grant applications.
15.    Grants are generally paid out 4 weeks after all required documents have been submitted to SHS.
16.    SHS may request further documentation on the trip, such as copies of invoices or confirmation of flights.
17.    For the first round of allocations in 2019, the application deadline is 2 December 2019 for all trips taken in 2019 and trips planned to take place before the end of May 2020.
